Project in the spotlight: WFS

"It has been a challenging but above all instructive process," is how James De Cock looks back on his hyphen assignment as business controller. It has now been almost a year since James started working at WFS. Together with Eddy De Timmerman (CFO of WFS), we look back on his project.

The role of CFO at WFS

WFS' finance organisation has 13 employees, divided between a controlling and billing team. "Due to internal shifts and restructuring within WFS, they were looking for a new CFO within the organisation in January 2022," says Eddy.

"I myself have more than 30 years of experience in the logistics sector in both national and international organisations. Each time I have taken up different roles, from more financial to even commercial roles, and from CFO to the role of advisor for investment files and acquisitions."

Need for continuity

Eddy faced several challenges within the organisation. "There was a need to shift quickly from day one. We were in the middle of the year-end and were clearly short-handed. One of the first decisions I made was to start the search for five finance profiles."

In the past, Eddy already got in touch with hyphen several times by previously working as a finance interim manager in various organisations. So when the need for quick support arose, he immediately contacted hyphen. "Quality and speed is important in such a situation and at hyphen they only need half a word to know what is wanted," he says.

"It's a hugely complex environment to work in. Rapid deployment and the will and drive to work is extremely important in such a situation. With hyphen's help, we were able to bring fresh blood into the organisation after a few weeks and three people were able to start working with us on a temporary basis, one of them hyphen consultant James."

Moving quickly in a complex environment

With nine years of finance experience (three years auditing at the BIG4, three years controlling and then three years controlling as a finance project consultant), James is starting up at WFS. For James, this was his fourth assignment at Hyphen.

"The start-up was not simple," says James. "There wasn't much reference work to fall back on and a lack of clarity about deadlines and expectations." Fortunately, as an international company with headquarters in France, they could count on support and guidance from the group. "For the first few months, it was mainly figuring out a lot myself and making sure the business kept running," he says.

"My focus at my start-up was on the business controlling part and especially the revenue side, which billing is partly related to. Following up invoicing, making sure the monthly closing is correct, adding accruals and preparing the necessary reports, etc." The latter proved to be a hugely important focus for WFS shareholders. "Fortunately, with the support of Eddy and the group, we were able to take quick steps in this regard."

The importance of complementarity

Once the year-end was behind us, the main focus was on bringing structure to the organisation. "To generate structure, we first had to define what the focal points were within the organisation," James says. "For this, I worked closely with the financial controller within WFS, Yves Vanderstraeten. An interim manager who was also provided through hyphen."

And for James, the interaction between the two was immediately right. "We have very complementary profiles. With his background in accountancy, my analytical insight and Eddy's support, we were able to stabilise the situation after the first quarter."

A steep learning curve

After one year at WFS, James looks back on a very instructive project. "In a changing environment, you have to figure it out very quickly. Thanks to Eddy, I especially learned strategic thinking and to look more at the bigger picture in such a situation. When everything is more structured, you can go into more detail. But the basis lies mainly in understanding the bigger picture."

For Eddy, James has fulfilled all his expectations over the past year. "It has not been an easy process, but James' commitment was there from day one. And for me, just the will and drive to work in a complex environment is very important, but not a given for everyone. For me, James is a high potential who I see a lot of opportunities for in his future career."

WFS is the global leader in air cargo logistics with a global network of more than 164 locations in over 18 countries on five continents. They provide cargo services as well as passenger, ramp and baggage services at Zaventem and Liège airports, among others.

Nood aan continuïteit

Eddy werd geconfronteerd met verschillende uitdagingen binnen de organisatie. "Er moest vanaf dag één snel geschakeld worden. We zaten in het midden van de jaarafsluit en hadden duidelijk handen tekort. Eén van de eerste beslissingen die ik maakte was om de zoektocht te starten naar een vijftal finance profielen."

In het verleden raakte Eddy al meerdere keren in contact met hyphen door als vroeger als finance interim manager in verschillende organisaties aan de slag te gaan. Toen de nood naar snelle ondersteuning opkwam, nam hij dan ook meteen contact op met hyphen. "Kwaliteit en snelheid is in zo'n situatie belangrijk en bij hyphen hebben ze maar een half woord nodig om te weten wat er gezocht wordt."

"Het is een enorm complexe omgeving om in te werken. Snelle inzetbaarheid en de wil en drive om te werken is in een zo'n situatie van uiterst belang. Met de hulp van hyphen hebben we na een aantal weken vers bloed binnen kunnen halen in de organisatie en konden drie mensen op tijdelijke basis bij ons opstarten, waaronder één van hen hyphen-consultant James."

Snel schakelen in een complexe omgeving

Met 9 jaar finance ervaring (3 jaar audit bij de BIG4, 3 jaar controlling en vervolgens 3 jaar controlling als finance project consultant) start James op bij WFS. Voor James was dit zijn vierde opdracht bij Hyphen.

"De opstart was niet simpel.", aldus James. "Er was niet veel naslagwerk om op terug te vallen en onduidelijkheid over de deadlines en de verwachtingen." Als internationale onderneming met uitvalsbasis in Frankrijk, konden ze gelukkig wel rekenen op ondersteuning en sturing vanuit de groep. "De eerste maanden was het vooral zelf veel uitzoeken en zorgen dat de business bleef draaien."

"Mijn focus lag bij mijn opstart op het business controlling gedeelte en vooral de revenue kant, waar billing een deel mee samenhangt. Het opvolgen van de facturatie, zorgen dat de maandafsluit juist is, accruals bijboeken en de nodige rapportages opstellen,…" Dit laatste blijkt voor de shareholders van WFS een enorm belangrijke focus te zijn. "Met de steun van Eddy en de groep hebben we daar gelukkig snel stappen in kunnen zetten."

Het belang van complementariteit

Eens de jaarafsluit achter de rug was, lag de focus vooral op het aanbrengen van structuur binnen de organisatie. "Om structuur te kunnen genereren, moesten we eerst definiëren wat de focuspunten waren binnen de organisatie", vertelt James. "Hiervoor heb ik nauw samengewerkt met de financial controller binnen WFS, Yves Vanderstraeten. Een interim manager die ook via hyphen werd aangereikt."

En voor James zat de wisselwerking tussen beide meteen juist. "We hebben heel complementaire profielen. Met zijn achtergrond in accountancy, mijn analytisch inzicht en de ondersteuning van Eddy, hebben we na het eerste kwartaal de situatie kunnen stabiliseren."

Een steile leercurve

Na één jaar bij WFS, blikt James vooral terug op een heel leerrijk project. "In een veranderende omgeving moet je heel snel je plan trekken. Dankzij Eddy leerde ik vooral het strategisch denken en om in zo'n situatie meer naar het grotere geheel te kijken. Als alles meer gestructureerd is, kan je meer in detail treden. Maar de basis ligt vooral in het begrijpen van the bigger picture."

Voor Eddy heeft James het afgelopen jaar al zijn verwachtingen ingelost. "Het is geen eenvoudig proces geweest, maar de commitment van James was er vanaf dag één. En voor mij is net de wil en drive om te werken in een complexe omgeving heel belangrijk, maar niet voor iedereen een gegeven. Voor mij is James een high potential waar ik veel mogelijkheden voor zie in zijn toekomstige carrière."
